Important Information

With the venue change to the Gaylord National Harbor in 2016 we’ve had to make some changes to the procedures for exhibitor move-in/out this year. These changes will only be in place for 2016.

1. Targeted Move-In: Please refer to the targeted move-in floorplan to see which Zone your booth is in.

2. Hanging Signs: All eligible exhibitors who will be utilizing a hanging sign must complete the following steps:
a. Return the Hanging Sign Request Form to Show Management by Friday, January 15.
b. Return the PSAV Rigging Order Form by Sunday, January 31. No orders will be accepted after this date.
c. Return the Freeman Hanging Sign Assembly Order Form.
d. Ship the hanging sign separately from your booth materials to the Freeman Warehouse between February 3 and February 25. All hanging  signs must be received in advance or they will not be installed onsite.
e. Make arrangements to have the hanging sign sent back separately from your booth materials post-show. PSAV will be uninstalling the signs after the show floor has been cleared.

3. Outbound Shipping: Due to time constraints on the move-out schedule only designated carrier types will be allowed to collect exhibitor materials from show site. Please reference the material handling order form for all related costs for outbound shipping. Please see the chart to determine your material pick-up location.

4. EAC Forms: If you will be utilizing an Exhibitor Appointed Contractor you need to fill out and return the proper paperwork no later than Friday, January 30. The deadline will be strictly enforced this year.
